Photo and Media Release Policy
Purpose
Hangar 100 Ministries (“we,” “us,” or “our”) is dedicated to empowering underserved youth through aviation and mentorship. To promote our mission and share our impact, we may capture photographs, video recordings, and audio recordings (“Media”) of participants, volunteers, staff, and event attendees.
Consent
- Participants Under 18 Years Old:
- Parental Consent Required: Written consent from a parent or legal guardian is required before capturing or using any Media of minors.
- Participants 18 Years and Older:
- Self-Consent: Individuals may provide their own consent.
- Withdrawal of Consent:
- Consent can be withdrawn at any time by contacting us in writing. We will cease future use but cannot remove Media already published.
Usage of Media
By providing consent, you grant us permission to use Media for:
- Promotional Materials: Brochures, flyers, posters.
- Digital Platforms: Our website, social media channels.
- Communications: Newsletters, emails, press releases.
- Fundraising Efforts: Campaigns, grant proposals.
- Educational Resources: Training materials, presentations.
Rights Granted
- Non-Exclusive License: You grant us a royalty-free, perpetual license to use, reproduce, and distribute the Media for the purposes stated above.
- Editing Rights: We may edit or alter the Media for clarity or formatting while respecting the integrity of your likeness.
No Compensation
You acknowledge that you will not receive any compensation for the use of your likeness in the Media.
Privacy and Respect
- Dignity and Respect: We will use Media responsibly and will not exploit or misrepresent any individual.
- Anonymity Requests: You may request that your name not be used in connection with the Media.
Opt-Out Procedures
- At Events:
- Notify Us: Inform a staff member or photographer if you prefer not to be included in Media.
- After Publication:
- Contact Us: If you wish to withdraw consent after Media has been captured, please contact us, and we will refrain from using your likeness in future materials.

Liability Waiver
1. Acknowledgment of Risk
By participating in any programs, services, events, or activities (“Activities”) offered by Hangar 100 Ministries (“the Organization”), I acknowledge and understand that these Activities may involve inherent risks, including but not limited to:
- Physical injury or harm
- Property damage or loss
- Emotional distress
I understand that these risks may arise from various factors, including but not limited to:
- Aviation-related activities
- Use of equipment or facilities
- Actions of other participants, volunteers, or staff
2. Voluntary Participation
I voluntarily choose to participate (or allow my minor child to participate) in the Activities provided by the Organization. I confirm that I (or my child) am physically, mentally, and emotionally capable of participating safely.
3. Release of Liability
To the fullest extent permitted by law, I hereby release, waive, and discharge Hangar 100 Ministries, its directors, officers, employees, volunteers, agents, and affiliates (“Released Parties”) from any and all liability, claims, demands, or causes of action that may arise from my (or my child’s) participation in the Activities, including any such claims which allege negligent acts or omissions of the Released Parties.
4. Indemnification
I agree to indemnify and hold harmless the Released Parties from any and all claims, actions, suits, procedures, costs, expenses, damages, and liabilities, including attorney’s fees, arising out of or related to my (or my child’s) involvement in the Activities.
5. Medical Treatment
In the event of an emergency, I authorize the Organization to secure appropriate medical treatment for me (or my child). I understand that I am responsible for all costs associated with such medical care.
6. Compliance with Policies
I agree to comply with all rules, regulations, and instructions provided by the Organization while participating in the Activities. I acknowledge that failure to comply may result in removal from the Activities without refund or recourse.
7. Media Release
Unless I provide written notice opting out, I grant the Organization permission to use photographs, videos, or other media of me (or my child) taken during the Activities for promotional, educational, or other lawful purposes, as outlined in the Organization’s Photo and Media Release Policy.
8. Severability
If any provision of this waiver is found to be unenforceable or invalid, the remaining provisions shall remain in full force and effect.
9. Governing Law
This waiver shall be governed by and construed in accordance with the laws of the state in which the Organization operates.
10. Entire Agreement
This waiver constitutes the entire agreement between the parties regarding liability and supersedes any prior agreements or understandings, whether written or oral.
Program Code of Conduct
Introduction
At Hangar 100 Ministries, our mission is to empower underserved youth through aviation and mentorship, guided by Christian values. This Code of Conduct outlines the expectations for all participants in our Pilot Training, Maintenance Training, and Discovery Flight programs. Adherence to this Code ensures a safe, respectful, and nurturing environment where everyone can learn and grow.

- Be truthful in all communications and actions.
- Take responsibility for your actions and admit mistakes promptly.
Safety First
- Follow all safety protocols and instructions provided by staff and instructors.
- Report any unsafe conditions or incidents immediately.
- Do not engage in reckless or dangerous behaviors.
Compliance with Rules and Regulations
- Adhere to all program guidelines, schedules, and directives.
- Respect the property and equipment provided by Hangar 100 Ministries.
- Comply with all applicable laws and aviation regulations.
Substance-Free Environment
- The use, possession, or distribution of alcohol, tobacco, or illegal drugs is strictly prohibited during program activities.
- Participants must not attend program activities under the influence of any substance that could impair judgment or performance.
Dress Code
- Wear appropriate attire suitable for aviation activities.
- Closed-toe shoes and comfortable clothing are required.
- Clothing should be modest and respectful, aligning with Christian values.
Specific Program Guidelines
Pilot Training and Discovery Flights
Pre-Flight Preparation
- Attend all required briefings and training sessions.
- Complete any assigned readings or preparatory work.
In-Flight Conduct
- Follow the pilot’s instructions at all times.
- Do not touch controls or equipment unless instructed.
- Remain seated and wear safety restraints as directed.
Post-Flight Procedures
- Assist with debriefing sessions and provide feedback.
- Help maintain cleanliness of the aircraft if requested.
Maintenance Training
Workshop Safety
- Wear protective gear as required (e.g., safety glasses, gloves).
- Use tools and equipment only under supervision.
- Keep the work area clean and organized.
Equipment Handling
- Report any damaged or malfunctioning equipment.
- Do not remove tools or materials from the workshop without permission.
Faith-Based Expectations

Participation in Devotions
- Be open to participating in optional prayers or devotional activities.

- Use devices and internet access provided by the program responsibly.
- Do not access or distribute inappropriate or unauthorized content.
Social Media Etiquette
- Represent Hangar 100 Ministries positively if mentioning the organization online.
- Do not share confidential or proprietary information.
Attendance and Punctuality
Commitment
- Attend all scheduled sessions unless excused.
- Arrive on time and be prepared to participate fully.
Notification of Absences
- Inform program coordinators in advance if unable to attend.
Conflict Resolution
Addressing Issues
- Attempt to resolve minor disagreements respectfully and privately.
- Seek assistance from a staff member or instructor if needed.
Reporting Concerns
- Report any serious concerns, including safety issues or misconduct, to program leadership immediately.
Consequences of Violations
Minor Infractions
- Verbal warning and guidance on proper conduct.
Repeated or Serious Violations
- Meeting with program leadership.
- Possible suspension or dismissal from the program.
Zero Tolerance Offenses
- Immediate removal from the program for actions such as violence, theft, or possession of illegal substances.
Acknowledgment
Participants (and parents/guardians for those under 18) are required to acknowledge their understanding and agreement to abide by this Code of Conduct.
Volunteer Agreement
Introduction
Thank you for your interest in volunteering with Hangar 100 Ministries (“the Organization”). Our mission is to empower underserved youth through aviation and mentorship, guided by Christian values. This agreement outlines the terms and conditions of your volunteer service with us.
Purpose
This agreement serves to:
- Define the relationship between the Organization and the Volunteer.
- Outline the roles, responsibilities, and expectations of both parties.
- Affirm our commitment to operate in alignment with Christian principles.
Roles and Responsibilities
Volunteer Responsibilities
Service Commitment
- Perform assigned tasks to the best of your ability.
- Adhere to agreed-upon schedules and notify your supervisor of any changes.
Conduct
- Uphold the Organization’s Code of Conduct and embody Christian values such as integrity, compassion, and respect.
- Interact professionally with participants, staff, other volunteers, and the public.
Confidentiality
- Maintain the confidentiality of any sensitive information encountered during your service.
- Do not disclose personal or proprietary information without authorization.
Compliance
- Follow all organizational policies, procedures, and safety guidelines.
- Comply with applicable laws and regulations.
Representation
- Represent Hangar 100 Ministries positively in all interactions, including on social media.
- Do not speak on behalf of the Organization unless authorized.
Organization’s Responsibilities
Orientation and Training
- Provide necessary training and resources to perform assigned tasks effectively.
- Offer ongoing support and supervision.
Safe Environment
- Ensure a safe and respectful working environment.
- Address any concerns or issues promptly.
Communication
- Keep volunteers informed about organizational updates and changes.
- Provide feedback on performance and recognize contributions.
Faith-Based Support
- Encourage spiritual growth and fellowship among volunteers.
- Incorporate Christian principles into programs and activities.
Confidentiality Agreement
You agree to keep confidential all information regarding the Organization’s operations, participants, donors, and any other sensitive data. This obligation continues even after your volunteer service ends.
Media Release
Unless you opt out in writing, you grant Hangar 100 Ministries permission to use photographs or videos of you taken during volunteer activities for promotional or educational purposes, in accordance with our Photo and Media Release Policy.
Health and Safety
Fitness to Volunteer
- Confirm that you are physically and mentally fit to perform your volunteer duties.
- Inform the Organization of any relevant medical conditions or limitations.
Safety Protocols
- Follow all safety procedures and report hazards or incidents immediately.
Background Check
Volunteers working directly with youth are required to undergo a background check. By signing this agreement, you consent to this process.
Termination of Service
Either party may terminate this agreement at any time with or without cause by providing notice to the other party.
Christian Values Acknowledgment
By volunteering with Hangar 100 Ministries, you acknowledge and respect that we are a Christian organization. You agree to uphold our values and support our mission to serve others through faith-based initiatives.
Confidentiality Agreement
Introduction
As a volunteer with Hangar 100 Ministries (“the Organization”), you may have access to sensitive or confidential information. This Confidentiality Agreement (“Agreement”) outlines your obligations regarding the protection of such information. By signing this Agreement, you agree to maintain the confidentiality of all protected information encountered during your volunteer service.

Definition of Confidential Information
“Confidential Information” includes, but is not limited to:
Personal Information:
- Names, addresses, phone numbers, email addresses, and other personal details of participants, volunteers, staff, donors, and partners.
- Medical records or health information.
- Financial information.
Organizational Information:
- Internal policies, procedures, and manuals.
- Program materials, curricula, and training resources.
- Strategic plans, fundraising strategies, and donor lists.
- Any non-public financial data.
Third-Party Information:
- Information received from partner organizations or individuals under confidentiality agreements.
Obligations of the Volunteer
1. Non-Disclosure
- Maintain Confidentiality: You agree to keep all Confidential Information strictly confidential and not disclose it to any unauthorized person or entity.
- Use of Information: You will use Confidential Information solely for the purpose of fulfilling your volunteer duties with the Organization.
- Prevention of Unauthorized Disclosure: You agree to take reasonable measures to prevent unauthorized access, disclosure, or misuse of Confidential Information.
2. Exceptions
- Legal Requirements: If disclosure is required by law, regulation, or court order, you agree to notify the Organization promptly to allow for appropriate action.
- Public Domain: Information that becomes publicly available through no fault of your own is not considered Confidential Information under this Agreement.
3. Return of Materials
- Upon the conclusion of your volunteer service or upon request by the Organization, you agree to return or destroy all materials containing Confidential Information, including notes, documents, electronic files, and any other media.
Term and Termination
- Duration: Your obligations under this Agreement commence on the Effective Date and continue indefinitely, surviving the termination of your volunteer service.
- Termination: The Organization reserves the right to terminate your volunteer service for any breach of this Agreement.

- You have read and understand this Confidentiality Agreement.
- You agree to abide by the terms and conditions outlined herein.
- You recognize the importance of maintaining the confidentiality of sensitive information in alignment with the Organization’s mission and Christian values.
